Terms & Conditions for Parents
GXF Netball Academy provides high quality netball training in a fun & safe environment. We have strict policies in place to ensure optimal safety for our players.
Players & Parents agree to read & abide by GXF Netball Academy/ Club's Code of Conduct. They must be respectful to other children as well as coaches. They must set a good example for the club at all times. If they do not, they may be asked to leave, without refund.
Parents must ensure their child attends sessions with all jewellery removed, hair tied back, suitable footwear & short nails, otherwise children will not be allowed to participate.
You (the person reading & signing these terms & conditions) agree to the club collecting, storing & processing your data in line with the Privacy Notice below including special category data ( Medical Injury Data). As a data subject you are not obliged to share your personal data with the club. if you choose not to share your personal data with us we may not be able to register or administer your membership.
GXF Netball Academy take the protection of data we hold seriously and do everything possible to ensure data collected is stored, processed, maintained & retained in accordance with current & future data protection legislation.
You must declare all medical conditions/ allergies during registration and keep us up-to-date should this change by emailing us at - gxfnetballacademy@gmail.com.
GXF Netball Academy fees need to be paid before your child's first session. If fees are not paid, we have the right to offer your child's place to a child on the waiting list.
Your booking is not confirmed until payment has been received. Paid for spaces will be given priority.
Fees are non-refundable so please make use of the free trial to determine whether your child wishes to join us or not.
Neither GXF Netball Academy or any of their staff are responsible for any loss or injury during the class. However, we will endeavour to do our best to help your child minimise any risk of the above.
GXF Netball Academy reserve the right to remove a child from our programme, without refund, anyone who is found to be bullying, misbehaving or displaying disruptive behaviour.
Parents must ensure children are collected at the right time. We understand there may be emergencies but please ensure you have a back-up plan & always liaise with coaches to let them know. If a parent is late picking up their child from the training session on a regular basis, we reserve the right to remove the child from our programme, without refund.
You must refrain from bringing your child to class if they have had any form of illness within 48 hours of the class.
We do NOT issue refunds for missed sessions due to your own circumstances .
Cars are NOT allowed on premises at any time. Please park on roads adjacent to the school and walk your child in.
Parents are responsible for ensuring their child is safely escorted to & from GXF Netball Academy training sessions.
Parents are NOT allowed in the sports hall due to our safeguarding policy. You are welcome to watch the session from the viewing gallery but please try not to distract your child.
If there are any sessions which have to be rescheduled, GXF Netball Academy will offer a make-up session.
Photography & Video Statement
GXF Netball Academy will not permit photographs, video or other images of children/ young people to be taken without consent of the parents/ carers and children/ young people.
We will take all possible steps to ensure, where consent has been provided, that imaged are used solely for the purposes they are intended. If you become aware that these images are being used inappropriately you should inform the Academy/ club welfare officer immediately.
By agreeing to these terms & conditions, you consent to any persons authorised by High Wycombe District Junior League, club tournament official photographer, GXF coach/ Team Manager photographing or videoing my child's involvement in netball and to the use of any images for educational curriculum purposes, promotion of GXF Netball Academy/ Club/ HWDJNL, Official Tournament, Clan Netball or in the media for the purposes of publicising and promoting the club or sport.
You must declare if you do not want your child to be photographed for marketing use and keep us up-to-date should this change using the given email address
Privacy Notice:
GXF Netball Academy are committed to protecting and respecting your privacy. For any personal data you provide for the purpose of your child's membership herein referred to as 'you'), the club will ensure it is stored and processed in a fair, lawful, secure & transparent way.
What Personal data we hold on you:
You may give us information about you by filling in forms at registration, an event or online, or by corresponding with us by phone, email or otherwise. This includes information you provide when you register with the club. The information you give us may include your name, date of birth, address, e-mail address, phone number, medical, injury, affiliation information.
Why we need your personal data:
The reason we need your data is to be able to administer your membership and provide the membership services you are signing up to when you register with the club. Reasons we need to process your data include:
- For training & competition entry
- Sharing personal data with club coaches or officials to administer training sessions
- Sharing personal data with club team managers to enter events
- Sharing personal data with leagues, regional associations and other competition providers for entry in events
- For membership & club management
- Processing of membership forms & payments
- Sharing data with committee members to provide information about club activities, membership renewals or invitation to social events
- Website management
- Club newsletter promoting club activity
- Publishing of competition results
- Any special category personal data (specific medical data) we hold on you is only to ensure the safe running of training sessions, that you receive appropriate medical treatment if required during an event. This data will not be shared or processed for any other purpose.
- The club has the following social media pages; website, Facebook, Whatsapp, Heja, Twitter & Instagram. All members are free to join these pages. If you join one of the social media pages, please note that the provider of the social media platforms have their own privacy policies and that the club do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data on the club social media pages.
Who we share your personal data with:
When you are asked to join the competitive squad, you will be registered as a member of England Netball. We will provide England Netball with your data which they will use for your England Netball affiliation. England Netball will contact you to invite you to sign into & update your information via MyNet portal. You can set & amend your privacy settings from the MyNet portal. If you have any questions about the continuing privacy of your personal data when it is shared with England Netball, please contact them directly. Your data may also be shared with the High Wycombe District Junior League , South Bucks Netball & Netball tournament hosts for the purpose of entering a Netball team into relevant netball leagues/ competitions.
How long we hold your personal data:
We will hold your personal data on file for as long as you are a member with us. Your data will be reviewed annually. Any personal data we hold on you will be destroyed within five years of inactivity on that member's account. Your data is not processed for any further purposes other than those detailed in this policy
Your rights regarding your personal data:
As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data , including direct marketing; to the portability of your personal data and to complain to the UK's data protection supervisory authority, the information commissioners office about the processing of your personal data.
As a data subject you are not obliged to share your personal data with the club. If you choose not to share your personal data with us we may not be able to register or administer your membership.
